From 2,500 Names to 90 Real Conversations

There's a list of former Groove platform users I've been working through as part of my migration offer. About 2,500 names. People who built their businesses on Groove, who know the platform, and who are now looking at their options since the rebrand.
Emailing all 2,500 the same message wasn't the right move. Not because of deliverability, but because the offer I'm making is specific and hands-on: a full migration, one-on-one, two spots per month. That kind of offer needs to go to people who are actually a fit.
So I built a scoring system instead.
How the AI research works
Before any name gets a personal outreach, an AI agent researches them. It checks for three things: do they have an active program or product right now, do they have tech stack mentions that suggest they're still running a Groove-based site, and does a current Groove website come up under their name or brand.
Out of 2,500 names run through that filter, 90 came back worth a real conversation.
That's not a failure rate. That's precision. I'm not wasting time chasing names that were never going to convert on this offer. I'm spending my follow-up energy on 90 people who've already been pre-qualified by the research.

What AI actually does in this process
The research step is the part that would take days to do manually. Looking up each person, checking their current web presence, reviewing their tech stack if it's visible, making a judgment call on fit. AI compresses that from weeks of work into a process that runs while I'm doing something else.
I'm still making the final call on who to reach out to. The AI flags them, I review the flags, and I decide who gets a personal message. But the research layer that used to be the bottleneck is no longer something I have to do myself.
What this means for how you think about outreach
There's a temptation, especially with a list of any size, to just email everyone and hope the math works in your favor. Sometimes that's the right call for a low-touch offer. But for anything that requires real follow-through on your end, precision matters more than volume.
The question AI lets you answer before you spend an hour on a conversation is: does this person actually need what I'm offering, and do they have the context to understand it?
