    Set Up Delivery So It Runs Without You

    After a coaching call, your client should receive their recording and a session summary without you having to remember to send it.

    That sounds obvious. But if you're doing that manually, you already know that "remember to send it" becomes a task that competes with everything else on your list. Some days it goes out within the hour. Other days it goes out the next morning, or the day after, or it doesn't go out until the client asks.

    That gap in delivery is a gap in the client experience. And it's one of the easiest things to close with a simple AI-assisted automation.

    What the delivery system looks like

    Here's how mine works. The call ends. The Zoom recording saves automatically to a Google Drive folder. A Zapier trigger watches that folder for new files and fires when one appears. From there, a workflow picks up the recording, runs it through AI transcription, generates a session summary from the transcript, and sends both back to the client automatically.

    The client gets their recording and a clean summary with key points and next actions, without me doing anything after the call ends.

    That's what delivery that runs without you actually looks like. Not delivery that depends on you remembering the last step.

    Why this matters more than it might seem

    Consistency in delivery signals professionalism in a way that's hard to replicate through effort alone. When a client gets their materials within an hour of the call ending, every time, that reliability communicates something. It says the experience of working with you is engineered, not improvised.

    It also protects the coaching relationship from a specific kind of friction. When clients have to ask for their recordings, or when summaries arrive two days late, it creates a small but real disruption in momentum. The work you did on the call starts to fade before they've had a chance to act on it.

    What AI adds to this

    The transcription and summary generation are the parts that AI makes practical. A session summary used to require either the coach taking detailed notes during the call, which splits attention, or reviewing the recording afterward and writing it up manually, which takes time you probably don't have.

    AI reads the transcript and produces a working summary in seconds. You can review it and clean it up if you want to, or let it go straight to the client as generated. Either way, it's not consuming your time.

    If you have Zoom recordings saving to Google Drive, you already have most of what you need. Add a Zapier trigger on that folder, connect it to a transcription step, and set up a summary prompt that matches what your clients need to see after a session.
